A plain-English summary of how Talentranx handles customer data, resume content, security controls, and privacy principles.

When you upload job descriptions and candidate resumes to Talentranx, you are sharing information that matters. Some of it is commercially sensitive. Some of it contains personal information about real people. Protecting both is as important to us as providing accurate resume assessments.

This page explains, in plain English, how Talentranx handles your data, how we protect it, and the principles that guide our approach.

Privacy by design

Talentranx was designed with a straightforward goal: collect only the information needed to perform an assessment, retain it only for as long as necessary, and give customers control over their own data.

That philosophy shapes the way the platform works at a technical level.

One example is how resumes are processed. The original resume file never leaves your computer. Instead, your browser extracts the text from the document and sends only that extracted text to Talentranx for assessment. Once the assessment is complete, the extracted resume text is automatically removed from our active systems.

What remains is the assessment itself, together with the basic candidate contact details needed for recruiters to identify and follow up with candidates.


What information we process

Talentranx processes several types of information depending on how you use the platform. This may include:

  • account information, such as your name, email address, and organisation
  • job advertisements or position descriptions used to define role requirements
  • candidate resumes submitted for assessment
  • assessment results, extracted job requirements, and recruiter notes
  • limited technical information required to operate and secure the platform, such as browser details, IP addresses, and diagnostic logs

We collect only the information required to provide and support the service.

We do not sell personal information.


How resumes and job descriptions are used

Job descriptions are analysed to identify the requirements of a role. Resumes are compared against those requirements to produce structured, evidence-based assessments. Talentranx uses frontier language models, meaning the most capable AI models currently available, to perform this analysis.

Your content is used only to provide the service you have requested. We do not use your resumes, job descriptions, or other customer content to train AI models for other customers or third parties.

We may use aggregated and de-identified information to understand how the platform is performing and to improve product features. This information cannot be linked back to individual candidates or customers.


Security

Protecting customer data is part of the platform’s design, not an afterthought.

Talentranx uses a combination of technical and organisational safeguards, including:

  • encryption for data in transit
  • encrypted database storage for retained information
  • role-based access controls and least-privilege permissions
  • monitoring and logging to help detect operational and security issues
  • separation of resume content from candidate contact information to reduce unnecessary exposure

Only authorised users within your organisation can access your recruitment data.

No online service can guarantee complete immunity from security risk. If a notifiable data breach were ever to occur, Talentranx would respond in accordance with applicable privacy laws and notify affected customers as required.


Your data stays under your control

Your recruitment data belongs to you.

Talentranx provides tools that allow you to:

  • export your recruitment data
  • permanently delete candidate records
  • remove or correct information by re-uploading updated resumes
  • permanently close your account when you no longer need the service

When an account is closed or data is deleted, information is removed from our active systems in accordance with our published retention schedules. Some information may remain temporarily in encrypted backups until those backup cycles expire.


Privacy legislation and compliance

Talentranx is designed to support organisations operating under the Australian Privacy Act 1988, which governs the collection, use, and handling of personal information in Australia.

For organisations operating in other jurisdictions, Talentranx is built around principles that align with major international privacy frameworks, including the EU General Data Protection Regulation (GDPR) and equivalent legislation in other regions. We use the word “aligned” deliberately: Talentranx has not been independently audited or certified against these frameworks, and customers operating under specific regulatory requirements should satisfy themselves that the platform meets their obligations before use.

Where Talentranx can support your compliance posture:

  • resumes are processed without personally identifying information where configured, reducing unnecessary exposure of candidate data
  • data minimisation is built into the processing model: only what is needed for assessment is retained
  • access controls limit who within your organisation can view candidate information
  • deletion and export tools allow you to manage candidate data in line with your own retention obligations

Ultimately, the organisation using Talentranx remains responsible for ensuring it has an appropriate legal basis for collecting and processing candidate information, and for meeting any notification or consent requirements that apply in its jurisdiction.
